Two kinds of payroll in one business

Moving companies usually pay two different populations in two different ways: employees on a day rate, hourly or salary, and carriers or contract drivers settled per job. Most software handles one and leaves the other on paper.

Employee payroll

Each employee has a pay basis - day rate, hourly, or salary - held with an effective date, so a change part-way through the year does not rewrite history.

BasisHow it calculates
Day rateRate multiplied by days worked in the week
HourlyHours worked, with anything above 40 in the week at 1.5x
SalaryFixed amount for the week
PTOPaid at the standard rate

Runs are computed from the attendance grid for a week starting Sunday, stay in draft until you finalise them, and show a per-employee breakdown of regular, overtime and PTO. Anyone without a pay basis is flagged rather than silently skipped.

Carrier settlement

Carriers are paid per job through closing sheets: carrier, dispatcher, driver, order and DOT numbers, the pickup and delivery dates, then line items per job with cubic feet, rate, and balances. Totals are entered manually as the authoritative figure, with a running sum of the lines shown as a cross-check. Loss and damage exceptions are recorded, and the signed paper form can be scanned and attached.

Carrier earnings roll up by week and by carrier, with a year-end 1099 earnings export.

The totals you type are the source of truth. Line items are a cross-check, not an override - so the system never quietly pays a number you did not intend.

Questions

Does Store Stash handle moving company payroll?

Yes, on Premium. It covers employee payroll (day rate, hourly with overtime, or salary), driven by the attendance grid, plus carrier settlement through closing sheets and weekly carrier earnings.

How is overtime calculated?

For hourly employees, hours above 40 in a week are paid at 1.5x the standard rate. Day-rate employees are paid per day worked, and salaried employees receive a fixed weekly amount. PTO is paid at the standard rate.

What is a closing sheet?

The carrier-side settlement form (a Delivery Acceptance Form). It records what you owe a carrier or driver for a job - header details, per-job line items, totals, and any loss or damage exceptions - with a scan of the signed paper form attached.

Does Store Stash pay my crew directly?

No. It calculates and records payroll and produces a defensible record, including a year-end 1099 earnings export for carriers. Actual disbursement happens through your bank or payroll provider.
